Virtual Assistant (Remote, Part-time/Freelance)

We’re SheVisionary, a small, heart-led agency that supports visionary women on their entrepreneurial journeys and we're growing fast. Our clients work in coaching, spirituality, and personal development, and we stand beside them with trust, structure, and care. We are mission-driven, feminist, and seek to contribute to a better world with our work. We are based in Spain and work with virtual assistants from around Europe.

We’re looking for someone who’s reliable, thoughtful, and well-organized, someone who sees the details, holds the bigger picture, and helps our clients stay focused on what matters most. We're also looking for someone who'd love to grow together with us as we continue to expand and take on more clients.

Tasks

Your workday is varied and shaped by the individual needs of the clients you support. You’ll collaborate with several female entrepreneurs and take on responsibilities in areas like:

  • Calendar & Appointment Coordination: Scheduling and organizing Google Calendars, sending Zoom links, providing weekly overviews, sharing updates for individual clients
  • Client Support & Communication: Responding to emails, sending program information, keeping client overviews up to date, managing inboxes, occasionally communicating with official agencies (e.g. health insurance, child benefits office)
  • Project Management: Organizing and prioritizing tasks in Asana, tracking deadlines, supporting internal coordination
  • Administration & Invoicing: Creating invoices, preparing contract templates, keeping tax-related documents organized
  • Everyday Organization: Turning messages and voice notes into structured tasks, creating lists and summaries, prioritizing tasks based on urgency and necessity
  • Research and Logistical Tasks: Preparing workshop materials, researching ideas or gifts for clients, supporting with personal logistics like apartment searches or booking flights
  • Vacation Coverage: Coordinating holidays with clients and coordinating with other assistants in supporting them as needed
  • Communication & Collaboration: Weekly check-in meetings and regular exchange with other freelancers

Bonus if you bring experience or interest in the following areas:

  • Website Maintenance: Updating texts, images, offers, and workshop descriptions using Wix, Wordpress, Webflow or others
  • Newsletter Creation: Writing, formatting, sending newsletters using Wix, Mailchimp or similar tools
  • Landing Pages & Workshop Support: Drafting and structuring offer or registration pages, creating forms or questionnaires, using Canva to design or adjust flyers

Requirements

  • Native speaker in German, excellent English as the main working language
  • Preferably, based in the Central European Time zone (CET) or a nearby time zone. We welcome applications if you’re based in other time zones as we may enroll clients from other parts of the world
  • Availability in the mornings for 2-3 hours a day with possibility of more hours with a 9:00 start in the Central European Time zone (CET)
  • Experience in assistance, project coordination, or online business support
  • A structured, reliable, and proactive working style
  • A good communicator and experience working remotely
  • Confident using tools like Google Workspace, Asana, Zoom and WhatsApp
  • Open to learning and working with technical tools such as AI and ChatGPT
  • A sense of empathy and understanding for topics like personal development, spirituality and feminist values
