Executive Assitant to the Head of Reinsurance Accounting (m/f/d)*

We are seeking an experienced, highly committed, and service-oriented Assistant to support our Head of Reinsurance Accounting (RIA). In this key role, you will act as a trusted partner, ensure the smooth running of day-to-day operations, while contributing to collaboration and operational excellence in an international environment.

You will directly report to the Head of RIA.

Your Job

• Prepare correspondence, presentations, and internal communications in German and English
• Manage and coordinate the Head of Department’s calendar, meetings, and travel arrangements
• Coordinate visits from international colleagues and stakeholders
• Manage travel expense reports via Concur
• Organize and coordinate meetings, workshops, and international team calls
• Coordinate organizational processes as well as large relocation planning
• Maintain and support SharePoint pages and internal collaboration platforms
• Use of the tools Coupa / Pagex / Office 365
• Take ownership of additional administrative and coordination tasks to ensure smooth operations
• Act as deputy for another assistant within the team when required

Your Profile

• Several years of experience working as an Executive assistant or in a comparable administrative role
• Well-versed with the usual IT applications
• Strong communication skills, service oriented mindset and teamwork skills
• Excellent organizational and organizational skills with strong attention to detail
• High level of discretion and professionalism when working with senior stakeholders
• Convincing manner and highly proactive approach paired with the ability to take decisions
• Reliable and solution-oriented working style
• Very good command of German and English, both written and spoken
