The Role

This role requires 3 days per week in the office and is based in Munich.

Personio is on a mission to make HR work better for millions of people across Europe — and the people closest to our most senior leaders play a real part in making that happen. As Senior Executive Assistant to our Chief Revenue Officer (CRO) and Chief People Officer (CPO), you'll be a trusted partner who keeps two of our most critical functions running smoothly, efficiently, and with intention.

This isn't a role for someone who prefers to stay in the background. You'll be a central point of coordination, communication, and calm, someone our executives and their teams genuinely rely on. Thanks to you the executives can do their best work and their leadership teams run better.

What you'll do

• Own the calendars of the CRO and CPO end-to-end, proactively prioritising, protecting time, and solving scheduling conflicts before they become problems. Align schedules with organizational priorities

• Support the planning, organisation, logistics, and delivery of department-wide meetings, events, and off-sites (virtual and in-person). Coordinate complex internal and external meetings, including those involving the Board, Customers, Partners, and the GTM and People Senior Leadership Teams

• Coordinate annual President’s Club for GTM teams

• Plan and manage travel logistics: itineraries, transport, accommodation, all handled seamlessly

• Manage expense reporting and billing tied to both executives' activities, ensuring accuracy and compliance at all times

• Act as a key interface between the CRO, CPO, and their internal and external stakeholders, making sure communication flows and nothing falls through the cracks

• Represent the CRO and CPO professionally in every interaction, whether with employees, guests, or candidates

What you need to succeed

• At least 6 years supporting a senior executive, ideally in a fast-moving environment such as tech, consulting, or a high-growth startup

• A proactive, ownership-led mindset: you spot what needs doing and do it, without being asked twice

• Strong analytical skills and the ability to break down complex problems and make well-informed decisions quickly

• Exceptional attention to detail and reliable follow-through on every task, big or small

• A high degree of discretion: you handle sensitive, confidential information with professionalism and trust

• A warm, dependable presence that puts people at ease, even when things are busy or ambiguous

• AI-forward & curious: You stay ahead of emerging AI technologies, actively experimenting with and integrating new tools to evolve your workflow and drive efficiency.

• Proficiency in Google Workspace (Docs, Sheets, Slides)

• Fluent in both German and English, written and spoken

At Personio, we value in-person collaboration while also offering flexibility. This role is office-based, with 3 days required in your contracted office location. The remaining days can be worked from home or in the office if you prefer. In addition, you’ll have 20 Flex Days per year to work remotely from other locations.
