At kiutra, we contribute to the development and application of quantum technologies by offering innovative and sustainable cooling solutions based on our unique magnetic cooling technology. To strengthen our team, we are looking for an Office Assistant (m/f/d) who is eager to be the face of our company at reception and ensure that the office and shared spaces are always welcoming, functional, and well organized. With a warm, natural, and genuinely friendly manner, you make sure that everyone feels welcome at reception. You support the team in day-to-day operations and take ownership of topics such as supply procurement and emergency measures. As this role is performed on-site, you are reliably present and available on-site during your respective working hours, whether part-time or full-time, for guests, colleagues, and external partners.

Responsibilities

Reception & Guest Management

• You welcome guests, visitors, and suppliers at the reception – warmly, cheerfully, and invitingly, regardless of mood or weather

Office Organization & Order

• You ensure cleanliness and order in offices and common areas, in particular the kitchen and tea kitchen, including tidying up and maintaining the dishwasher, coffee machine(s), printer, and office plants
• You prepare meeting rooms
• You are explicitly welcome to contribute your own ideas for the design of office and common areas, and to help implement them
• You coordinate emergency measures and evacuation procedures

Procurement & Supplies Management

• You order, receive, and manage office supplies, kitchen utensils, and food and beverages on a weekly basis from various suppliers; occasionally you also order or rent office furniture and IT equipment
• You maintain ongoing inventory management of office furniture and equipment

Administrative Support

• You take on additional administrative tasks as needed

Requirements

• You have a good command of German and English, spoken and written
• You bring strong service orientation and enjoy interacting with people
• You have a friendly, well-groomed, and professional demeanor
• You bring a high degree of reliability, punctuality, and discretion
• You have strong organizational skills and a structured, independent way of working
• You are confident using MS Office (in particular Outlook, Word, and Excel)
• You have a hands-on mentality and enjoy practical, varied tasks
• You have experience in reception, office management, or hospitality – a plus
