ROLE DESCRIPTION SUMMARY
- The Services & Operations Project Management Support provides operational and project management support to ensure the successful planning, execution, governance, and delivery of service and operational activities. The role works closely with project managers, service managers, engineering teams, suppliers, and stakeholders to coordinate tasks, monitor performance, maintain project controls, and support continuous improvement initiatives.
PRIMARY RESPONSIBILITIES / KEY RESULT AREAS
Project Management Support
- Support the planning, execution, monitoring, and closure of projects and operational workstreams.
- Prepare and maintain project schedules, action trackers, risk registers, and status reports.
- Coordinate project meetings, workshops, and governance reviews.
- Follow up on actions, decisions, and deliverables to ensure timely completion.
- Support resource planning and workload management activities.
- Assist in project reporting and KPI monitoring.
Governance & Reporting
- Ensure adherence to project management methodologies, governance processes, and organizational standards.
- Prepare management reports, dashboards, and executive presentations.
- Support audits, reviews, and compliance activities.
- Maintain accurate project and operational documentation.
Continuous Improvement
- Identify opportunities to improve processes, workflows, and reporting efficiency.
- Support implementation of best practices across services and operations activities.
- Contribute to lessons learned exercises and continuous improvement initiatives.
Stakeholder & Interface Management
- Coordinate and facilitate interactions with
- Procurement teams regarding contracting activities and supplier management.
- Programme and Finance teams to ensure alignment of activities and availability of budget
- Suppliers and industrial partners to monitor progress, deliverables, and issues.
- Support stakeholder communication and ensure timely escalation of issues and risks.
- Contribute to:
- Programme reporting and management reviews.
- Supplier reviews, technical reviews, and progress meetings.
Risk, Change & Configuration Management
- Identify, assess, monitor, and manage project and operational risks.
- Maintain and regularly update risk and issue registers.
- Focus on:
- Supplier-related risks.
- Delivery and schedule risks.
- Technical maturity and integration risks.
- Coordinate change requests impacting project scope, services, products, or operational baselines.
- Support impact assessments covering:
- Cost implications.
- Schedule impacts.
- Technical and integration consequences.
- Ensure alignment between project activities and:
- Approved configuration baselines.
- Change control processes.
- Programme governance requirements
Quality & Compliance
- Ensure suppliers comply with:
- Applicable standards (ECSS, ESA, etc.)
- Programme requirements and specifications

- Experience with project management tools (e.g., MS Project, Jira, Confluence, Planner, or similar).
- Familiarity with extensive documentation organisation, preparation, presentation, review, and handling
- Ability to analyse and present project and operational data.
QUALIFICATIONS & EXPERIENCE
- Bachelor's or master's degree in aerospace engineering, Systems Engineering, Electrical/Mechanical Engineering, or equivalent.
- 5+ years of experience in in space or complex high technology programmes.
- Fluency in English, both written and spoken
- Any other European Language is considered an asset
- Experience working within services, operations, engineering, telecommunications, aerospace, IT, or similar industries.
- Demonstrated project management experience in multidisciplinary technical environments.
- Experience with ESA or institutional programmes.
- Familiarity with ECSS standards and configuration & change control
- Experience with procurement processes and contract management
- Experience in stakeholder coordination and cross-functional team environments
- Experience working within services, operations, engineering, telecommunications, aerospace, IT, or similar industries
- Project management certification (PMP®, PRINCE2, IPMA). (nonessential)
OTHER KEY REQUIREMENTS / COMMENTS
- Eligibility for ESA/EU SECRET personal security clearances is essential. Candidates must be prepared to undergo a security clearance procedure, as this position may require holding such a clearance
- Willing to work 60% onsite from office
- Travel as required for project realization purposes
