At Mindspace, the Facility Operations Manager is the person behind the scenes who makes the whole experience possible - keeping buildings safe, systems running, and standards high so that members never have to think twice about the space they're in. You'll own real problems, build lasting relationships with partners and teams, and see the direct result of your work every day. No two days look the same, and that's exactly the point.

You're the kind of person who walks into a building and immediately clocks what needs attention. You're systematic but adaptable. You build processes because they work, not because they're comfortable, and you're quick to adjust when circumstances change. You communicate clearly, take ownership without being asked, and know how to get the best out of contractors, colleagues, and landlords alike. When something goes wrong, you're the calm in the room.
What you'll do
- Oversee building systems, maintenance and cleaning across Mindspace Berlin sites - keeping everything running to the standard our members expect
- Build and manage preventive and corrective maintenance programmes, including but not limited to equipment and facilities
- Scheduling work to minimise disruption
- Negotiate with and manage facilities providers, contractors and landlords - holding them accountable on quality, timeline and cost
- Ensure full compliance with local regulations, health & safety standards and lease obligations
- Lead construction projects and new site openings across Germany
- Continuously identify inefficiencies and drive improvements - if a process can work better, you'll make it happen
- Manage security systems, access control, CCTV and related infrastructure across all sites
- Be the first point of contact for facility emergencies - decisive, calm and solution-focused
- Work closely with the Community and Sales teams so the operational backbone supports a seamless member experience
REQUIREMENTS
What we need from you
- 5+ years of experience in Operations
- Background in Facility Management
- Fluent in German and English, written and spoken
- Proven experience managing external vendors, contractors and service providers
- A practical, resourceful problem-solver who moves forward without waiting for perfect conditions
- Comfortable working independently and staying effective when priorities shift fast
- Knowledge of security systems, IT and AV equipment
- Having a hospitality background is a strong advantage
- Proactive, independent and a team player
