Personal Assistant (all genders)

We’re currently looking for a highly organised and proactive Personal Assistant to support our Managing Director for 15-20 hours per week on a 6-month fixed-term contract. Please note that this role is based in Munich.

This role is ideal for someone who enjoys taking ownership, keeping things running smoothly, and working closely with leadership in a dynamic, culturally driven environment.

WHAT YOU DO

• You provide comprehensive administrative and organisational support to our Managing Director.

• You manage travel and booking coordination end-to-end, including business trips, restaurants, event RSVPs, and all related changes such as rebookings and cancellations.

• You handle all booking-related communication with internal teams and external partners.

• You manage travel expenses and receipts, including collection, review, upload and reconciliation, working closely with Accounting.

• You coordinate calendars, appointments and speaker requests, and oversee vacation and absence management.

• You organise and document orders and procurement, ensuring smooth handling, invoicing and documentation.

• You occasionally take on special tasks, such as art-related research assignments.

WHO YOU ARE

• You have several years of experience as a Personal Assistant, ideally in the art world or a related cultural field.

• You work in a structured, hands-on and reliable way and enjoy taking ownership of your tasks.

• You are comfortable managing multiple topics, including travel, bookings and administrative coordination.

• You communicate clearly, professionally and service-oriented in both German and English.

• You have excellent organisational and prioritisation skills and can manage confidential information discreetly.

• You are flexible with your schedule, including availability on weekends.
