Tasks

As Executive Assistant in our Munich office, you’ll play a pivotal role in enhancing operational efficiency and ensuring seamless collaboration with founders and partners. Your mission is to foster a proactive environment that empowers our executive team to focus on core investment activities.

Your responsibilities include:

  • Founder Engagement: Lead and continuously improve the outreach strategy to engage with potential founders and ensure meaningful, high-quality connections.
  • Investor Engagement: Coordinate meetings and communication with investors, organize in-person events, and support the preparation of the investor newsletter.
  • Appointment Coordination: Proactively manage and schedule key meetings, helping balance the executive team’s priorities and workload.
  • Inbox Management: Oversee the Managing Directors´ inboxes, ensuring timely responses and that high-priority messages are addressed efficiently.
  • Travel Logistics: Plan and coordinate detailed travel arrangements, ensuring smooth itineraries and comfortable accommodations.
  • Documents and Expenses Filing: Maintain organized digital and physical filing systems and oversee the tracking and submission of expenses.
  • Signatures and Notarization: Track and coordinate all signature and notarization processes, ensuring nothing falls through the cracks.
  • System Management: Independently manage the organization of our digital and physical filing systems, including the correct naming and storage of legal documents.
  • Personal Assistant Support: Act as a trusted personal assistant to our Managing Director and Founder, supporting both professional and occasional personal tasks to help manage their day-to-day more effectively.

Requirements

Background

  • At least 1 year of experience in Executive Assistant roles, ideally supporting C-level executives or VPs in fast-growing startups or established companies.
  • Experience in dynamic environments such as technology firms, investment banking, consulting, or venture capital is a strong plus.
  • Exceptional organizational skills and meticulous attention to detail - you're comfortable juggling multiple tasks and priorities with ease.
  • Fluent in English and German (spoken and written).
  • Proficient in Microsoft Office Suite and familiar with modern productivity tools.
