About the Role
This Munich-based Contract Event Manager will work under the guidance of the Head of Events, EMEA and partner closely with local cross-functional teams to plan and execute high-impact events across the DACH region. The role owns event operations, regional vendor coordination, guest experience, and post-event reporting. The ideal candidate will combine deep local market knowledge with meticulous planning, creative problem-solving, and seamless front-of-house management to deliver exceptional attendee experiences. While Germany will be the primary focus, this role may occasionally support events in other EMEA markets based on business and event needs.
In this role, you will:
Manage and execute events end to end across Germany, including workstreams, registration, guest experience, catering, and on-site production.
Partner with local cross-functional teams to translate German market priorities into clear event objectives, plans, timelines, and measurable outcomes.
Source, negotiate, and coordinate with trusted local vendors, including venues, caterers, AV providers, and creative production teams, while meeting OpenAI’s standards and compliance requirements.
Own attendee registration, check-in processes, and event communications, including localized pre- and post-event outreach.
Maintain meticulous financial records, closely monitoring regional budgets, processing invoices, and reporting on expenditures versus targets.
Collaborate closely with local and EMEA cross-functional stakeholders, including Marketing, Communications, Partnerships, Procurement, Security, and other regional teams, to align every event with strategic goals and brand guidelines.
Implement and manage locally appropriate safety, security, accessibility, and operational protocols, prioritizing attendee well-being and compliance.
Collect, analyze, and share event metrics, attendee feedback, and regional learnings with local cross-functional teams to improve future programs and measure impact.
You might thrive in this role if you have:
Have 5+ years of event production experience, managing end-to-end planning, on-site execution, and post-event analysis for high-profile programs.
Are based in Munich, understand the German event landscape, and can travel across Germany and the wider EMEA region as event schedules require.
Excel at building trusted relationships with local cross-functional teams, vendors, and agencies while delivering outstanding guest experiences in fast-moving environments.
